AI Tools Comparison Guide
The AI assistant market has matured rapidly. There are now several capable options, each with different strengths. This guide compares the major AI tools so you can choose the right one for your team's needs and budget.
ChatGPT (by OpenAI)
- Strengths: The most widely recognized AI assistant. Strong at general-purpose writing, brainstorming, summarization, and conversation. Supports image generation (DALL-E), file uploads, web browsing, and custom GPTs. Large plugin ecosystem.
- Best for: General business writing, content creation, research, and teams that want the broadest feature set in a single tool.
- Pricing: Free tier available with limited access. Plus plan at $20/month per user. Team plan at $25/month per user with admin controls and higher usage limits. Enterprise plan with custom pricing, SSO, and enhanced privacy.
- Enterprise features: ChatGPT Enterprise and Team plans do not use conversations for model training. SOC 2 compliant. Admin console for user management. Data encryption at rest and in transit.
- Privacy consideration: Free and Plus plans may use your conversations for model improvement unless you opt out in settings. Enterprise and Team plans do not.
Claude (by Anthropic)

- Enterprise features: SOC 2 Type II compliant. Does not train on customer data. Admin console with usage analytics. SSO support on enterprise plans.
- Privacy consideration: Anthropic does not use customer conversations to train models on paid plans. Their approach to AI safety is a differentiator for organizations that value responsible AI use.
Microsoft Copilot
- Strengths: Deep integration with Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams). Can work directly within the tools your team already uses. Powered by OpenAI models with Microsoft's enterprise infrastructure.
- Best for: Teams heavily invested in the Microsoft ecosystem who want AI assistance inside their existing workflow rather than in a separate tool.
- Pricing: Free version available with limited capabilities. Copilot Pro at $20/month per user for enhanced AI in Microsoft 365 apps. Microsoft 365 Copilot at $30/month per user (requires a Microsoft 365 Business or Enterprise subscription).
- Enterprise features: Inherits Microsoft 365 security, compliance, and data residency controls. Data does not leave your Microsoft 365 tenant. Supports sensitivity labels and data loss prevention policies.
- Privacy consideration: Data stays within your Microsoft 365 compliance boundary. Microsoft states that customer data is not used to train foundation models. This is a strong choice for organizations with strict data governance requirements.
Gemini (by Google)
- Strengths: Strong multimodal capabilities (text, image, audio, video understanding). Tight integration with Google Workspace (Gmail, Docs, Sheets, Slides). Access to current information through Google Search integration.
- Best for: Teams using Google Workspace who want AI built into their existing tools, and tasks involving multimedia content.
- Pricing: Free tier available. Gemini Advanced at $20/month (included with Google One AI Premium). Google Workspace add-on for business users with per-user pricing.
- Enterprise features: Enterprise-grade security when used through Google Workspace. Admin controls for enabling or disabling AI features. Data processing stays within Google's infrastructure.
- Privacy consideration: Google Workspace business plans include data protection commitments. Free consumer versions may use interactions to improve services. Review Google's AI data practices for your specific plan.
Grok (by xAI)
- Strengths: Real-time access to X (formerly Twitter) data and current events. Less restrictive in the types of questions it will answer. Strong at conversational, informal interactions.
- Best for: Social media monitoring, trend analysis, current events research, and teams that want a less filtered AI assistant.
- Pricing: Available through X Premium and Premium+ subscriptions. Standalone access options are evolving.
- Enterprise features: Enterprise offerings are less mature compared to competitors. Limited admin controls and compliance certifications at this stage.
- Privacy consideration: Review xAI's privacy policy carefully. The platform is newer and enterprise privacy commitments are still developing. Not recommended for handling sensitive business or patient data until enterprise controls mature.
Key Considerations for Your Team
- Start with your workflow. If your team lives in Microsoft 365, Copilot reduces friction. If you use Google Workspace, Gemini integrates naturally. If your team needs a standalone tool for specific tasks, ChatGPT or Claude may be better fits.
- Consider data sensitivity. If your team handles PHI, PII, or other regulated data, prioritize tools with enterprise plans that explicitly exclude customer data from model training and offer compliance certifications.
- Do not put PHI into any AI tool without a BAA. As of now, most AI tools do not sign Business Associate Agreements. Until they do, Protected Health Information should never be entered into these systems.
- Start with one tool. Picking one tool and training your team well on it will deliver more value than giving everyone access to three tools they barely use.
- Revisit every six months. This market is changing rapidly. Features, pricing, and privacy commitments evolve. What is true today may not be true in six months.
